Privacy Policy

This policy explains what we collect, how we use it, and who processes it. It is written to be read, not to hide behind legalese. It is not legal advice, and we expect to refine it with counsel.

1. Who we are

First Call is a practice tool for firefighter oral-board interviews. You record spoken answers to practice questions and receive AI-generated feedback.

2. What we collect

  • Your email address and password (for your account).
  • Optional profile details you provide: target department, role level, hiring timeline.
  • Your voice recordings of practice answers.
  • Transcripts of those recordings, and the scores and written feedback generated from them.
  • Basic session information: timing, pacing, and which questions you practiced.

We do not collect payment information, and we do not currently track hiring outcomes.

If you try the free one-question sample without an account, we collect only that recording, the transcript and score it produces, and a scrambled (hashed) version of your network address. Sections 4 and 5 explain how those are processed and how quickly they are deleted.

3. Your voice recordings

When you record an answer, your audio is stored securely and processed to give you feedback. This is the most sensitive data we handle, and we treat it that way. You consent to this recording during signup before you can practice (see Section 7).

4. Who processes your data

Three outside services help deliver the product. Each receives only what it needs:

  • Deepgram converts your voice recording into text. Deepgram receives your audio. We have opted your recordings out of Deepgram’s model-training program.
  • Anthropic generates your feedback. Anthropic receives the text transcript of your answer — never your audio.
  • Resend sends account emails (confirmation, password reset). Resend receives your email address.

We also rely on infrastructure providers who store or route data on our behalf: Supabase (database, login, and file storage), Vercel (hosting and cookieless, aggregate analytics), and Cloudflare and Zoho (domain routing and support email).

Trying First Call without an account. Our website offers a free, one-question sample of the product that does not require an account. When you record an answer there, the same two services are involved: Deepgram converts the recording to text (with the same opt-out from model training), and Anthropic scores the text. No account, name, or email address is attached to a sample answer. Before you can record, Cloudflare checks that you are a person and not an automated program; Cloudflare receives your network address for that check.

5. How long we keep it

We delete your voice recordings 30 days after you record them. Your transcripts, scores, and feedback are kept so you can track your progress over time. Your account information is kept until you delete your account.

For the no-account sample: your recording is deleted within seconds of being converted to text. The anonymous transcript and score are kept for up to 30 days and then deleted. A scrambled (hashed) version of your network address, used only to limit repeat attempts, is deleted after 48 hours.

6. How your data is protected

Your recordings and results are private to your account; other users cannot see them. Authorized First Call personnel can access recordings when necessary to support you or operate the service.

7. Your consent to voice recording

Before you can practice, you agree to the following at signup:

I consent to First Call recording my voice to generate feedback on my practice answers. My recordings are processed by third-party services, as described in the Privacy Policy.

The same consent is requested on the free sample page before you can record.

8. Deleting your data

You can request deletion of your account and all associated data — including your recordings — by emailing support@firstcallprep.com. We will delete your account, profile, sessions, transcripts, and stored recordings.

9. Changes to this policy

If we change what we collect or how we use it, we will update this page and its “last updated” date.
